Mountaingate Homeowners Association Notice of Annual Meeting

This letter shall serve as official notice of the Annual Meeting for Mountaingate Homeowners Association.  This meeting will be held on Wednesday, July 22nd at 7:00 p.m. at the playground between Mountaingate Court and Apple Way.  Social distancing and masks will be required.  Please bring a chair. The rain date is Wednesday, July 29th at the same location at 7:00 p.m.

If you are unable to attend this meeting please return your signed proxy to the address on the proxy.  You may send it via e-mail (chassett @clagett.com) or fax (301-695-9557).   The proxy includes instructions as to how it can be used.  If you wish to have the proxy holder vote in the election you must have both your signature and the signature of the person to whom you are assigning this proxy notarized.  If not notarized, the proxy will only be used to establish quorum.  Should a quorum not be achieved at this meeting, the meeting will be adjourned and a new meeting will be called to order shortly thereafter.  The number of members present at this meeting shall be considered sufficient to constitute a quorum.

If you wish to be on the ballot as a candidate for one of the three Board positions that will be voted on at this meeting please contact Chrisse Hassett at Clagett Management (301-695-6676, ext. 205 or chassett@clagett.com) before July 22nd  and she will pass your name along to the nominating committee.  Nominations from the floor will be made at the meeting.  All those who wish to run for Board positions will be given an opportunity to speak to the members at the meeting.  There are three Board positions that will be filled at this election.   The three board members elected will serve a two year term.  

To be discussed at the meeting:

  • Changing ARC applications to state that all ARC applications must be submitted to the association for approval with a copy of the approved permit issued by the City of Frederick.
  • By-Laws to be clarified by stating that attendance at Board meetings must be in person, rather than remotely or electronically
  • Resolution regarding maintenance to be amended to state that in removal of trash or personal items must be done within 15 days to avoid imposition of fine of $75.  Thereafter a fine will be imposed every 15 days or as outlined in current resolution.
  • Addition to By-Laws that fines will be imposed for assessments not paid in a timely fashion.   The fine is $15 per quarter and is in addition to the interest payments already assessed on unpaid balances.  This is in accordance with current Maryland Law.
